1.2. Personal data

Personal data means any information relating to an identified or identifiable natural person. An identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data or an online identifier (Article 4 (1) of the GDPR).

1.3. Legal basis for processing

We shall process your personal data on the basis of 

Article 6 (1) (e) of the GDPR in conjunction with section 3 of the Federal Data Protection Act, if processing is necessary for the performance of a task assigned to us in the public interest or in the exercise of official authority (e.g. responding to contact requests).

2. Data processing in connection with the accreditation

To accredit for Preview Conference Sustaining Peace Amidst the Climate Crisis: The Role of Data Science, Technology & Innovation in Berlin, the collecting of personal data is necessary. The obligatory data are marked, other provision of personal data is optional. No special categories of personal data, such as racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, health, sex life, sexual orientation, and genetic or biometric data are collected.

The information is used for participant administration and will be stored until six weeks after the end of the conference (19.06.2022) on secure EU servers.

This personal data will be deleted at the previously mentioned date.

In addition, the e-mail address details from the accreditation system are used to synchronise access to the password-protected participant area at [https://www.preview-conference-berlin.com] and to ensure that only persons accredited for the conference have access to this part of the website.

3. Recording of the kick-off event, the webinars and the final event

The preview conference Sustaining Peace Amidst the Climate Crisis: The Role of Data Science, Technology & Innovation in Berlin will be streamed on the server of the Poolgroup agency and made accessible on the website [https://www.preview-conference-berlin.com]. All events will be recorded.

The webinars will not be streamed. However, all webinars will be recorded for the following purposes:

By participating in the conference series, you agree that sound and image recordings may be taken showing your participation in the webinar, chat or similar.

4. Personal data processed when you contact us

When you contact us, your details (name, email address and possibly also your address, telephone and fax numbers) and the information provided (including personal data) are processed for the purpose of contacting you and handling your inquiry. The storage of this data is governed by the statutory periods for retaining records laid down in the Registry Directive, which complements the Joint Rules of Procedure of the Federal Ministries. The retention period is usually 10 years, in exceptional cases up to 30 years.

If we are not responsible for your inquiry, it may be forwarded to other state and federal authorities without your prior consent but in compliance with data protection regulations, provided it can be assumed that forwarding your inquiry for the purpose of answering it is in your interest and no sensitive personal data is affected (Article 6 (1) (e) of the GDPR in conjunction with section 3, section 25 (1) and section 23 (1) (1) of the Federal Data Protection Act).
